Executive Assistant & Office Manager (Hybrid, 3 days per week)

We are seeking a highly organized and proactive Executive Assistant & Office Manager to provide top-tier administrative support for our CEO, while also managing key office operations. This role is ideal for a resourceful professional who thrives in a fast-paced environment, enjoys wearing multiple hats, and has experience working with senior executives, board members, and investors.
In addition to managing the CEO’s calendar and communications, the EA will at times provide administrative support for our extended executive team. This individual will be responsible for ensuring the smooth day-to-day functioning of the office, overseeing internal events, ordering and maintaining office supplies, and assisting with operational initiatives. Strong communication and collaboration skills are essential.
CORE RESPONSIBILITIES
- Serve as a trusted partner to the CEO managing their calendar, appointments, meetings, etc.
- Provide administrative support for extended executive team members as needed for hosting in-office visitors, meetings, and events.
- Prepare high quality presentations, reports, and briefing materials for board meetings, investor relations, and executive discussions.
- Coordinate meetings, ensuring all necessary materials are prepared in advance.
- Handle confidential and time-sensitive information with the highest level of discretion.
Office & Administrative Management
- Manage office operations, including ordering and maintaining office supplies and ensuring a productive work environment.
- Plan and execute internal company events, team gatherings, and executive offsites.
- Serve as the primary point of contact for office vendors and service providers.
- Support internal operations projects as needed, collaborating with G&A teams.
Board & Investor Relations
- Interface professionally with board members, investors, and senior executives.
- Assist in organizing board meetings, and preparing meeting materials.
- Support investor relations by coordinating schedules, handling correspondence, and managing confidential documents.
QUALIFICATIONS & SKILLS
- 5+ years of experience in an Executive Assistant or Office Manager role, ideally supporting C-level executives.
- Strong background in calendar management, travel coordination, and executive communications.
- Experience interfacing with board-level executives and investors.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Strong attention to detail, particularly in preparing professional slide decks and written communications.
- Excellent interpersonal skills with a polished and professional demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Self-motivated, resourceful, and able to work independently in a fast-paced environment.
- Experience in a high-growth startup or fast-paced corporate environment is preferred.
- Experience with tools such as Slack, Teams, or Zoom for workflow and communication.
- Ability to be onsite, in the office three days per week. There may be times where weeks are busy and could require four days of support.
