POSITION SUMMARY:

The Accounts Receivable Specialist is responsible for managing incoming payments, maintaining accurate customer accounts, and ensuring timely collection of outstanding balances. This role plays a key part in supporting cash flow, financial accuracy, and positive customer relationships.

POSITION RESPONSIBILITIES:

  • Generate, review, and send customer invoices in a timely and accurate manner
  • Monitor accounts to ensure payments are received on time
  • Apply payments to customer accounts
  • Follow up on past-due accounts via email and phone
  • Manage billing in accordance with customer contracts, order forms, and subscription terms
  • Resolve billing discrepancies and customer payment issues
  • Reconcile accounts receivable ledger and assist with month-end close
  • Prepare aging reports and provide status updates to management
  • Experience working with multi-currency transactions and international customers
  • Identify opportunities to improve AR processes, controls, and efficiency
  • Maintain accurate financial records in accordance with company policies
  • Collaborate with sales, customer service, and accounting teams
  • Support audits and provide documentation as needed

REQUIRED SKILLS & EXPERIENCE:

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
  • 1–3 years of accounts receivable or general accounting experience
  • Strong understanding of accounting principles and AR processes
  • Proficiency in accounting software (e.g., NetSuite, SAP, Oracle, QuickBooks)
  • Intermediate Excel skills (VLOOKUP/XLOOKUP, pivot tables a plus)
  • Excellent attention to detail and organizational skills
  • Strong communication and customer service abilities
  • Experience with high-volume invoicing or collections (Preferred Skill)
  • Knowledge of GAAP (Preferred Skill)
  • Ability to manage multiple priorities and deadlines (Preferred Skill)
  • Problem-solving mindset with a proactive approach (Preferred Skill)
